UTILIZING CUSTOM NOTE FIELDS
Did you know that you could create up to six custom note fields within RezStream Professional that not only print on all occupancy reports, but can also be utilized with guest correspondence? You may even use these custom note fields in conjunction with the RezStream Booking Engine to collect special guest data during the last step of the online reservation process, which will then transfer directly back into RezStream Professional each time a guest makes a reservation on your website.
Creating Custom Note Fields
1. From the top toolbar in RezStream Professional, go to Tools > List Edit > Labels to change the names of the “Contact Text Fields” and “Invoice Custom Text” fields. Change the names of these labels to meet your property’s special requirements.

After making any changes to contact text fields or invoice custom text tab labels, exit RezStream Professional (File > Exit) and re-logon to utilize Contact Data screen customizations. |
2. Once you close and re-open RezStream Professional, your note field labels will now display the names you created in step 1. Go to the Contact Data screen and click on the “Details” tab to view the customized fields or enter any additional information.
In the example displayed below, the contact text fields have been customized to read Rewards #, Company Name, Special Req. #1, and Special Req. #2. In addition, the invoice custom text fields have been changed to read License #, # of Golfers, Tee Time #1, Tee Time #2, Tee Time #3, and Tee Time #4.

3. In this example, the tee time fields have also been added to the reservation confirmation letter. Go to Tools > Letter Design and click on the letter codes list to add the invoice custom text field information to any correspondence you send.
A letter sent to the guest will now contain information extracted from the custom note fields.

Custom note fields and any data will only print in occupancy reports if you have entered information in the notes fields within the Contact Data screen. If you have entered data in any of these fields, the name of the field and the notes within the fields will display on the “Notes” section of all occupancy reports. |
