Auto Merging Online Guests

Annoying Situation: You have a repeat guest.  That guest books online.  Despite already having a contact record for that repeat guest, the Cloud PMS creates a brand-new record.  Grrrrrrrrrrrrrrrrrrrrr

Solution: Auto merging of repeat guests.  smile smile smile smile

The Cloud PMS will now review various fields to verify if an online reservation is being made by a previous guest.  If so, that reservation will be assigned to the guest record that already exists.  If some data points are similar but it doesn’t quite match completely we’ll notify you of a potential duplicate record so you can handle it as you wish.

The fields that we’ll be checking are outlined as such:

  1. If the First Name, Last Name, and Email match exactly (ignoring case sensitive), we consider it a match.
  2. If the First Name, Last Name (ignoring case sensitive), and Phone match exactly (digits only), we consider it a match.
  3. If the First Name, Last Name (ignoring case sensitive), Street Address (digits only), City, and Postal Code (ignoring case sensitive) match exactly, we consider it a match.
  4. Otherwise, it is flagged as a possible duplicate (and we leave it to the user to decide).
