The importance of creating backups for RezStream Professional and your computer system.
The average desktop personal computer (PC) has a functional lifespan of roughly two to five years. This duration greatly depends on the type of system purchased, advances in hardware components, and changes in the software that is run. In the case of a PC used in the lodging industry, the lower end of this estimate is probably more accurate due to the long hours of day-to-day use. Other factors that can attribute to a shorter lifespan are extreme heat and humidity, conditions that RezStream’s coastal and island clients commonly experience. Along with the many reasons that affect a PC’s performance lies a potential that your computer will crash and all stored data is lost. To safeguard your business against this scenario, RezStream recommends following these simple steps if a crash occurs to ensure a quick turnaround time and minimal data loss in a system recovery.
At least a couple times a week, the RezStream support team receives a request to re-install RezStream Professional property management software after system failure or a if a computer crashes. Restoring RezStream Professional can be an easy and painless process as long as the client has a current backup of their RezStream database. Conversely, restoring a system, especially in a single computer environment, becomes increasingly difficult and cumbersome if a current backup does not exist. Note: In a multiple computer system or network environment, the RezStream database is stored on what is commonly referred to as the RezStream “server” or your “main” RezStream computer. The procedures explained below are meant to be followed on this “main” computer and are not necessary on other client computers. In this article, RezStream explains the best practices to follow to guarantee an easy recovery process if you encounter the unfortunate occurrence of a computer crash or failure.
Create a Daily Backup
Upon exiting RezStream Professional, a user is always prompted to create a system backup. This doesn’t need to be done every time RezStream is closed, however creating a backup once a day is highly recommended. When the user chooses “Yes” when prompted to create a backup, the system then asks to “Rename” the backup and choose where the backup file will be saved. By default, the backup file is named “RezStreamBackup-YYYYMMDD.zip” (the current date will appear in the YYYYMMDD field) and is saved in the location of your current RezStream database. This default location is C:\Program Files\RezStream. After accepting this default file name/location or renaming the file and choosing another file location, the system compresses your current database and creates a .zip file. A RezStream backup can also be created at any time by navigating to the RezStream Professional file menu and choosing the Backup option or pressing Control+B.
Creating a System Backup
Creating a daily backup is only the first step to ensure that you can recover your system after a crash. It is important to not only make a daily backup of your RezStream database, but also to backup your system externally. In other words, save your backup files to a location other than on your computer or to a location that can be accessed even if your RezStream computer becomes inaccessible.
Copying your “RezStreamBackup” zip file to a USB thumb drive or an external hard drive is probably the easiest way to externally back up your RezStream database. There are also various online backup services or automatic backup applications that can be utilized to accomplish a system backup. Contact your local IT person to discuss and determine which option best suits your business needs.
Restoring from a Backup
If you encounter a system crash, it is recommended that you contact RezStream support at 303.872.0220 option 2 for assistance in restoring your RezStream application. If help is needed outside RezStream normal business hours (Monday through Friday, 8AM to 5PM MST), you may be able to accomplish this task on your own by following these steps.
- Reinstall RezStream Professional by following the directions at: http://www.rezstream.com/images/sitedesign/support/rezstreamvista.pdf.
- Restore your database.
- Copy your backup file (RezStreamBackup-YYYYMMDD.zip) to C:\Program Files\RezStream.
- Log into RezStream and navigate to the Help Menu, choose the option for “Support” and click “Restore from Backup.” The application will then warn you that restoring from a backup will delete your current database. This is OK, since the current database after a re-install is blank. Choose “Yes” and then click “OK” when warned “Data Base missing choose backup file.” Then browse to the file you just copied into your RezStream folder, select it, and click “OK.” The RezStream Professional application will then re-launch and you should be able to log in.
